This is a key position that provides direction and support to the maintenance shop team and functions of Inland NorthWaste. The individual in this role practices the highest levels of professionalism as they interact with internal customers and external contacts.
Goals:
- Provide communication to supervisors around vehicle/equipment issues and work progress.
- Create, issue, and document work orders and support shop activities.
- Quickly and efficiently find internal documents and reports for reference upon request
Responsible For:
- The ideal candidate is highly organized and meticulous, and has an eye for detail in order to accurately complete all facets of the job
- The successful candidate will possess excellent communication skills and enjoy working with internal customers on a daily basis
- 75% Scheduling, monitoring progress, calculating charges, entering receipts and invoices and other data into Fleet Maintenance Pro software
- Apply computer program and application knowledge in developing and maintaining records, collecting information, and storing and retrieving the same
- Responsible for accurately entering receipts, invoices & service history
- Order parts and other supplies for inventory levels; perform basic inventory management procedures
- Responsible for ordering parts, invoicing orders, and closing out repair orders
- Responsible for dispatching repair work to the technicians based on their certification level and abilities
- Write service reports, accurately log and track repairs
- 10% Work on compliance to assure all certificates and permits are entered into Fleet Maintenance Pro software
- Responsible for compliance with recordkeeping requirements for Fed. and State regulations to assure all certificates are up to date
- Manage parts and repair warranty-related issues with vendors
- 10% Provide excellent customer service by interacting/helping with other employees/departments
- Communicate with dealerships and sales representatives; coordinate service schedules; act as liaison with internal customers
- Work with management to identify any potential concerns or issues that may arise
- Updating supervisors while vehicle/equipment is in the shop for service
- Respond to requests quickly and with a professional manner
- Coordinate services with outside vendors
- 5% Perform other duties, projects, etc. as assigned
- Report any concerns in a timely manner
- Responsible for meeting or exceeding standards set by the company
- Adhere to the company policies to create a safe and secure environment for everyone
Required Skills and Abilities:
- High School Diploma or equivalent
- Knowledge of heavy equipment, farming or city vehicles
- Experience using computers and other office equipment
- Experience using computer software and applications for word processing, email, internet searches, data organization, and data tracking (Google Workspace, Fleet Maintenance Pro and CORe preferred)
- Ability to communicate effectively both verbally and electronically
- Problem solving skills
- Punctual with regular attendance
- Maintain professional standards reflective of INW values
- Good organizational skills and ability to prioritize and track progress independently
- Experience maintaining accuracy while performing repetitive tasks
- Experience performing detailed work
- Experience working cooperatively and professionally with others from a wide variety of backgrounds in a busy environment
- Experience with advanced computer skills such as spreadsheet management, PowerPoint, documents, calendars, tasks, and chat features
- Database experience to enter and retrieve information
- Strong written and verbal communication skills
- Mechanical Experience a plus
Physical Requirements
- Ability to lift, carry, or otherwise move items up to 50 pounds (chairs, tables, heavy boxes, supplies, etc.)
- Must be able to work in noise and sit or stand for up to 8 hours
