TIFO is a small 501(c)3 nonprofit with an impressive resume of projects around the world. Our current projects are located in Central Asia and on the Duck Valley Indian Reservation. Position Summary:
We are seeking an organized and proactive part-time Operations and Outreach Coordinator (OOC) to support our team. The ideal candidate will have strong organizational and communication skills, and a passion for TIFOโs mission.
Primary responsibilities will be to support day-to-day operations and support the TIFO team in implementing projects. Secondary responsibilities are to promote TIFO through newsletters, social media, and events. The responsibilities below are listed in order of priority. In a typical week, the majority of time will be dedicated to the first items. When those areas are stable, the role expands to include tasks lower on the list.
The OOC is a key team player who ensures that systems run smoothly and efficiently. This role is well-suited for someone who is organized, detail-oriented, and enjoys working on a variety of projects. Because we are a small, dynamic organization that engages volunteers, technical experts, and our Board for delivering projects, this role requires flexibility, adaptability, and a willingness to go beyond the job description when needed.
This position is expected to be primarily in person in our office in Moscow, Idaho, in order to engage with our Moscow-based Board members, staff, volunteers, and student interns. Options for remote work can be discussed on an as-needed basis. Working with partners overseas may require virtual meetings outside normal business hours, so remote work and schedule adjustments may be necessary.
Position Responsibilities:

Primary: General Management
Ensure TIFO maintains an organized, professional work environment with adequate technology, equipment, supplies, and other resources for staff to perform their duties.
Serve as the primary point of contact for technical (IT) needs, resolving issues, and delivering solutions to support staff/volunteers/board membersโ productivity and workflow continuity.
Embrace a team-first mindset, stepping in where needed to help meet deadlines, and contributing to team priorities and organizational goals.
Ensure that TIFOโs organizational filesโboth electronic and paperโare properly organized, archived, and accessible to staff.
Manage TIFOโs software and cloud-based systems, tracking software and hardware needs to ensure everything is up to date.
Primary: Nonprofit Operations, Financials, & Compliance
Accurately process all incoming donations, update donor records in our management system (Little Green Light, LGL), and maintain data integrity for financial reporting and future outreach.
Manage the end-to-end “thank you” process, ensuring every donor receives a timely, personalized acknowledgment such as a handwritten card, phone call, or email.
Coordinate donor appreciation activities and fundraising events, managing everything from guest lists and invitations to day-of logistics and post-event follow-up.
Provide general IT support to the TIFO team, supporting basic troubleshooting, software updates, file access, and password management.
Provide dedicated support for international travelers by overseeing essential pre-trip checklists and verifying that all insurance and logistical requirements are finalized.
Working with the Executive Director and Project Manager, assist in tracking expenditures for grant-funded projects, working with the TIFO bookkeeper and the project manager to ensure records meet TIFO Internal Controls procedures and grantor requirements.
Secondary: Board & Governance Support
Coordinate activities of TIFOโs Board of Directors, including scheduling meetings and trainings.
Support Board members, volunteers, and interns in tracking their contributions to TIFO (financial and in-kind hours)
Secondary: Outreach and Engagement
Maintain a regular presence on TIFO’s social media platforms by posting updates and responding to public inquiries in a professional and timely manner.
Share high-quality content, including short videos, graphics, and photos, to increase the likelihood of content being shared.
Use analytics tools to monitor engagement metrics and refine strategies for maximum impact.
Write, edit, and design the layout for quarterly email newsletters. Engage staff and volunteers in contributing to the newsletter and coordinate their efforts in alignment with internal deadlines.
As needed, with the support of the ED and/or Board members and/or volunteers, create and update other outreach materials such as brochures, flyers, and website content.
Lead the planning and execution of events, managing venues, catering, volunteers, and activities
Oversee post-event acknowledgments, ensuring all sponsors, donors, and volunteers receive timely thank-you notes.
Qualifications:
This position requires a diverse set of skills ranging from administration and project support to outreach. We recognize that any one candidate may not have all of these skills, but preference will be given to those with diverse skillsets and willingness to learn and take responsibility.
Three years of relevant administrative and/or operations experience. Accounting, nonprofit, or outreach experience are a plus, but not required.
Strong organizational, record-keeping, and data management skills.
Exceptional attention to detail and ability to manage multiple priorities.
High level of discretion with confidential information.
Strong problem-solving skills and ability to focus on priorities in a dynamic, team-oriented environment.
Software & Technical Skills:
Computer literacy and ability to troubleshoot basic IT issues required.
Proficiency in Microsoft Office Suite and Google Workspace is required.
Familiarity with cloud-based file storage tools and online collaboration platforms is preferred.
Experience working with business accounts in Instagram, Facebook, and LinkedIn preferred.
Experience working with Canva (or other design software) and Mailchimp preferred.
Additional Requirements:
Occasional evening and weekend work required for special events.
Compensation & Benefits:
This position offers a competitive hourly rate of $25/hour, which aligns with the responsibilities of the role and the experience required. As a part-time, non-benefits eligible position, the expected schedule is 20 hours per week, with flexibility around work hours. Occasional evening and weekend work may be required for events, with scheduling adjustments as needed.
